We are looking for someone who is mature, confident, composed, personable, and highly polished. You should know how to engage with senior professionals and clients with warmth, discretion, and professionalism.
What You’ll Do
- Serve as the primary point of contact for clients, visitors, and guests entering the organization.
- Create a warm, professional, and welcoming reception experience.
- Manage a busy front desk, including greeting visitors, answering and directing calls, and responding to inquiries.
- Coordinate meeting room bookings and help meetings run smoothly.
- Welcome clients and ensure they are properly looked after during their visit.
- Work with internal teams to coordinate visitors, meetings, catering, deliveries, and other requirements.
- Keep the reception and client-facing areas polished and organized.
- Provide administrative and organizational support to the office as required.
- Assist with special events, client meetings, and other in-office activities.
- Handle sensitive or confidential information with discretion and sound judgment.
- Anticipate needs and address issues before they become problems.
- Represent the organization with professionalism, warmth, and confidence at all times.
What We’re Looking For
We are looking for an experienced professional who understands that exceptional client service is about the details.
You will ideally bring:
- Several years of experience in a corporate reception, front-of-house, hospitality, executive support, or client service environment.
- A polished and professional presentation.
- Excellent verbal and written communication skills.
- Confidence when interacting with senior executives, clients, and external partners.
- Strong judgment and the ability to handle situations with tact and discretion.
- A calm and composed approach in a busy environment.
- Exceptional organizational skills and attention to detail.
- Strong Microsoft Office skills.
- The ability to manage competing priorities while maintaining a high level of service.
- A genuine interest in people and a natural ability to make others feel welcome.
The Right Personality
The successful candidate will be warm without being overly casual, professional without being rigid, and confident without being overbearing.
You should notice when a client arrives, remember a familiar face, know when to step in and help, and understand that small details can make a significant difference.
You should take ownership of your environment, care about how things are presented, and understand the importance of being a dependable and consistent presence in the office.
